The Data Specialist, under the direction of the Office Manager, is responsible for supporting the clinical operations by preparing chart audits, following up on assessments and engagements through running reports, making phone calls, scheduling, and researching. This position is responsible for, but not limited to, assisting with the coordination of the PAP program and opening/closing consumers in the agency's Pharmacy Benefit Manager System (PBM). This position would be required to ensure Tele Video equipment is working properly and assist clients to and from the video area. Data Specialist will be instrumental in assisting clients with paperwork needed from prescribers and making phone calls to verify information needed. This position will enter data daily. This position would need to utilize an Electronic Health Record with computer proficiency to enter, retrieve, assemble, and organize data. Must be familiar with medical terminology.


You will get to:

  • Assist with opening clients in the PBM system and the Patient Assistance program. Assist with getting signatures from individuals when needed.
  • Processing Chart Audits daily and in a timely manner according to Hill Country MHDD Center policy and procedures. Include research of attachments, lab follow-up, and assessment status.
  • Follow up on daily activities to track trends or barriers and report to the Office Manager.
  • Communicate with clinic staff concerning any documents needed.
  • Participating in weekly staff meetings.
  • Ensure Medical Chart Audits are processed according to the Texas Administrative Code, Performance Contract, and Medical Best Practice.
  • Daily entry of billing strips.
  • Submit information to the Quality Improvement Department concerning death reviews.
  • Availability at a moment's notice to prepare audits for additional appointments.
  • Run and analyze reports to schedule assessments that are expired and report to the Clinic Director/Office Manager.
  • Run reports from data warehouses as requested.
  • Run and analyze reports of engagement activities, follow up, and schedule those needed.
  • Communicate with the prescriber concerning the requested client paperwork completion.
  • Petty Cash Alternate.
  • Work closely with clinic staff to troubleshoot situations.
  • Enter messages into the Electronic Health Record as appropriate.
  • Keep the workspace neat and organized.
  • Always protect the confidentiality of patients and their records by complying with Hill Country MHDD Center patient confidentiality and HIPAA policies and procedures.
  • Managing time well.
  • Recognizing and assisting others in the work of the department, even though the work may be outside of regular duties.
  • Sharing equally in the workload of the department.
  • Working cooperatively with all team members and departments.
  • Working independently, requesting assistance from a supervisor as needed.

You'll definitely need:

  • High school diploma
  • 2 years of experience related to the position.
  • A valid Texas State Driver's License.
  • Current automobile insurance and the ability to travel to individuals when necessary.

  • Provide exemplary customer service and care to individuals with their best interests at heart.
  • Work autonomously to complete assignments within community and HHSC standards with a high level of quality.
