Administrative Specialist (Kerr County MH Center)

The Administrative Specialist is responsible for managing the day-to-day administrative operations of the mental health clinic while delivering exceptional customer service in a person-centered environment. This role requires a compassionate, customer-focused professional who responds to client needs promptly and professionally, ensuring a positive experience with every interaction. The ideal candidate demonstrates strong problem-solving, organizational, and decision-making abilities, along with excellent communication, time management, multitasking, and telephone skills. A proactive, service-oriented attitude and commitment to meeting client expectations are essential for success in this role.

You will get to:

  • Physical coverage of the reception area and telephones
  • Provide excellent customer service to individuals in person, on the phone, and by email
  • Coverage of the reception area, answering the main clinic phone, returning voicemail, and relaying messages
  • Verification of insurance coverage and any changes in demographic and financial information
  • Schedule appointments on a rotating prescriber schedule, update individuals on cancelled appts on time, and schedule follow-up services per the prescriber's recommendation
  • Check individuals in utilizing the EHR
  • Run daily report of appts and communicate with providers about changes, last-minute scheduled appts
  • Accept payment for services, deposit cash/check payments
  • Fax outgoing information, scan incoming documents into the chart
  • Submit purchase orders, payment requisitions, and invoices for processing
  • Maintain assigned areas, ensuring all areas are person-centered and trauma-informed
  • Coordinate individual walk-in services, i.e., intake and crisis services, demographic/financial information, and PAP applications
  • Manage time to support the time-sensitive nature of documents/services/scheduling
  • Maintain cross-training in PAP services, demographic/financial services, and other administrative duties as assigned by the Clinic Director
  • Maintain the cleanliness and organization of the front waiting area
  • Knowledge and understanding of clinic operations and services to answer all client questions timely and competently
  • Maintain vehicle logs and communicate maintenance needs to the Clinic Director
  • Accept intake paperwork, prepare a new chart number, contact the financial specialist to conduct financial, and communicate with the intake coordinator 
  • Cash Drawer fund custodian.
  • Maintain the clinic scan folder. 
  • Document messages into the Electronic Health Record as appropriate.
  • Data Entry.
  • Protect the confidentiality of individuals and their records by complying with Hill Country MHDDC patient confidentiality and HIPAA policies and procedures.
  • Interact positively and in cooperation with other members of the organization and team, including active participation in supervision activities, team meetings, continuing education, etc. 
  • Work independently, requesting assistance from a supervisor as needed.

You'll definitely need:

  • High school diploma/GED
  • Maintain a valid Texas state Driver's License and auto insurance.
  • Complete and maintain both CPR certification and Prevention and Management of Aggressive Behavior training within the first 3 months of employment
  • The ability to travel when necessary
