Administrative Support Specialist - PRN

The Administrative Support Specialist (PRN) serves an essential role, providing person-centered, short-term inpatient psychiatric treatment services for people in service at the CSU. Under the direction of the Facility Director, this position works with CSU staff and providers, Hill Country MHDD Administrative and support staff, crisis workers, law enforcement, community representatives, individuals in treatment, and families/visitors/vendors. Able to work a flexible schedule, including evenings and weekends, is required.

You will get to:

- Completes admission demographic and financial assessments per organization policy and procedure for individuals admitted into Crisis Stabilization Unit Services.

- Verifies insurance and completes preauthorization of insurance benefits as needed.

- Completes, tracks, and submits various daily, monthly, and quarterly census reports to include average daily census, rapid re-admissions, extended lengths of stay, readmissions, and unduplicated counts for the inpatient service. Updates and verifies the daily census as needed.

- Assists with the electronic referral process and tracks admission denials as well as bed limitations by cause.

- Manages the purchasing process to include vendor logs and purchase orders. Maintains and tracks program credit card purchases, repair bills, bus tickets, patient and office supplies, and inventory.

- Provides backup to other administrative support staff as needed, including answering phones, managing referrals, calling for repairs, managing incoming/outgoing communication, and faxing documents, chart audits, and corrections.

- Uses electronic medical records, referral systems, statewide databases, and purchasing systems to complete administrative functions, produce reports, and manage facility operations.

- Position requires some flexibility for occasional work on weekends and evenings to provide backup support coverage for additional administrative positions.

- Position requires computer skills, including skills with developing spreadsheets, tracking systems, reports, and the ability to navigate and extract information/data from various computer programs such as the electronic medical record, electronic billing and payments systems, time keeping systems, and referrals systems.

You'll definitely need:

  • High school diploma/GED
  • A valid Texas State Driver's License.
  • Current automobile insurance and the ability to travel to individuals when necessary.
  • Experience working within a team setting.
  • Bilingual; English/Spanish preferred.
  • Live within 30 miles of the clinic with reliable transportation

  • Attend and successfully complete the training required by the job. 
  • Able to successfully complete and practice PMAB, CPR.
  • Adhere to Hill Country MHDD policies and procedures of the program or department to which they are assigned.
  • Observe safety practices, rules, and operating procedures
  • Demonstrate understanding and compliance with HIPAA laws to ensure the protection of all confidential client information
